Automated Warranty Card Creation

Hello all, Below are the details of the project. Please ensure you read all of this carefully so that you understand what the job entails. We utilise SalesForce as well as a standalone Manufacturing system and a written document that has the required information to finalise a warranty card. Due to my recent introduction to SalesForce (2 months use), the coding/setup is above my head, but require someone to essentially write a tutorial/walk me through the process of doing the following. If there is an alternative to the below described process, happy to hear it, but bear in mind our systems need to be used to generate the end document. I will create a template which will need to have cells that will be filled in with certain data available in Salesforce when a trigger is actioned. I have a field already called 'Serial Number', when this is filled, a warranty card should be generated and either emailed to our salesteam for forwarding on....or alternatively sent directly to the purchaser on the record. Hurdles Product: In the Opportunity name field, we may have different products with different quantities. The general format for this is Qty x Product (E.g. 2 x XYZ). If there are multiple products, the format would be 2 x XYZ, 4 x ABC, 3 x 273, 5 x XYZ-1). Serial Number: These are 9 numbers in length. Currently these numbers are on a spreadsheet that is printed off and placed in a folder and the details are handwritten in. I wish to upgrade this system, by having them data enter directly into the spreadsheet. Hence the information from the spreadsheet needs to be pulled into Salesforce. Issue with Serial Number: When you have multiple products, they may enter the second product in the list first, instead of the first number. So Salesforce needs to be able to understand this when placing serial numbers into the system. I am assuming serial numbers can be placed into the 'Serial Number' field, broken up with a comma. The serial number should be searchable by SalesForce. Date of Purchase: This is to be generated on the date that the serial numbers are entered into the spreadsheet that is linked to SF. Given that it can take weeks for fabrication of these products, using the 'Closed-Won' field is not an option, but it can be used as a first stage trigger if required. The third system is EXO. This sytem houses information such as part numbers, stock count etc... The only link that I can identify to link these three systems together is utilising an 'Order Number' that is currently on the Spreadsheet and EXO, but not in Salesforce. EXO and Salesforce do talk to one another, so I should be able to link the two together. So this would be another lookup value.
