PHP/HTML Custom Client Portal

Our company is a Wedding, Event and Production Videography business in the United States. The goal of this proposal is to create a custom “client portal” on our site to centralize communication and documents between us (Admin) and our Clients. The scale of our portal will not be large, as we expect around 50 clients a year.

We are willing to entertain bids for complete custom programming, integrated with or without free programming scripts. OR if there is a free open-source program that meets all of our criteria, then we would like to pay for the installation, configuration and maintenance of this program.

The main features of this portal must include:

Account Management:

Admin would need to create username and passwords for each client. The username would be the client’s primary email address, and the password can be auto-generated.

Client needs to be identified for class of service (Wedding, Special Event, Production)

Each client page needs a Project Status – a 140-character text field that our Admin can edit at anytime (like a Facebook status for each client, populated by Admin)

Client Profile Database:

Depending on the class of service, the client would need to fill out an online profile, and the information should be captured in a database for this client’s account. The client can access and update this information at anytime. Admin should be able to view a report so we may be able to access/print/email our client’s information.

There may be additional web forms our clients may need to fill out, depending on the class of service.

Integrated Calendar:

Depending on information entered in specific date fields in the profile database, this information needs to be entered into a calendar to be shared by the Client and Admin. The Admin view of the calendar must see all calendar items for all Clients; individual clients do not need to see other client’s information. We also need the ability for the Admin to enter specific calendar items for each Client.

Media Manager Interface:

Our clients provide all types of media to be integrated with their video project. We need a way for clients to upload pictures, videos, music, and misc documents to our site. The uploaded files must maintain original size and proportions. For the client’s photographs, there will be multiple folders or galleries to upload. There needs to be an easy method for clients to arrange their photos in a particular order, preferably with in a nice drag-and-drop interface. All media must have an option to add comments.

Centralized messaging/communication:

From the client’s portal account, we need a way to manage communications, perhaps in a message board or comments script that allows HTML formatting. Messages should be emailed to the Admin email account and the client’s email account. Replies by email should also be reflected in the portal message thread as well.

Resource Center:

Each client page will have a resource center with external URL links. Resources will depend on class of service.
