Admin functions

Admin may
a) enter new/edit/delete Individual equipment name, it's description, it's total unit count, and unit's rental price
by Category:
Sound System- Speaker/ Stand&Fly/ Sub/ Mixer/ Equalizer/ Amplifier/ Player/ Microphone & Stand/Sound Accessories/
Lighting System- Type of light/ Lighting Console/ Smoke & Haze/ Lighting Accessories/ Lighting Stand
Video System- Projector/ Screen/ TV& stand/ spherical Ball/ Watchout System/ LED P3/ LED P5/ Processor & Switcher/ Video Accessories
Truss System- 290x290mm / 390x390mm/ Barricade/ Scaffolding/
Distribution Board
Labour- Soundman/ Lighting Programmer/ Video Operator/ Technical Crew for Set up/ Technical crew for dismantle/ Technical crew for standby
Transportation- Lorry 1 ton/ Lorry 3 ton x 1way/2way
Miscellaneous- Cable Ramp/ Console Drape/ Walkie Talkie/
Props & General - Cocktail Table/ Cocktail Chair/
Production - Backdrop Print/ Banner/ Free hand input
i) owe equipment / Rented equipment with fee (for category sound/light/video/truss/distributor/Props&General/Mis)
ii) Internal staff / Partimer with fee (for category Labour)
iii) Renter charge (for transportation)
iv) Production fee (for production)
b) enter new/edit/delete "Package name", and group rental price, this will be a "group" where each group can contain multiple types of
individual equipments. For example (may not be accurate):
"Small Sound System Set 1" contains
i) 1 unit of Master Audio X-210A Line array speaker
ii) 2 Units of Master Audio PA-208 Active Twin 8'' Line array c/w KR-208A
iii) 1 unit of Set 2- Yamaha MGP16x Mixer
c) enter new/edit/delete client profile
d) Generate reports on screen and can export in PDF format - Calendar format on booking/ convert to confirm/ convert to close (already invoice from MYOB system)
i) current equipments inventory report (how many in warehouse, how many is rented out currently)
ii) quotations summary report
Staff functions
===============
a) Generate Quote (in running number) with company logo for PESB/CISB
i) Staff can select client profile
ii) Staff need to enter event details (Out date& time, Return date & Time, Event date & time, rehearsal date & time, Number of days charge)
- name of event/ Venue/ Room
ii) For each item in the quotation, staff can either
- Select Individual equipment and number of units
- option to hide items in quotation
- option to FOC items
- option to change date
or
- Select "Package Name" and number of units
iii) Each selected unit and group will generate a rental price
iv) If the selected equipments or group is not enough or available, warning will show and items still can be select and to prompt us to rent from other supplier with fee indication stated.
v) Staff can enter discount price or discount %
vi) After the total and GST auto count and equipments list are confirmed, the Quotation will be generated
in the system, those selected equipments counts will be deducted from the available counts, and short of equipment will be listed related to this quote.
vii) When job confirm, we can print the equipment list without pricing, show hide items, items need to rent from supplier, Labour needed, input remark
viii) For costing purposes, a revenue/ expenses report
There are 2 ways the rented equipments status will become available
i) Any quote that passed the return datetime will automatically become available
ii) Staff or admin cancel any specific Quote, all the equipments in that Quote will become available
Revision quote- back to the same quote to delete or add items
